HUMAN RESOURCES OFFICER – ADMINISTRATION
A leading floriculture enterprise in Kiambu County is looking for a dynamic HRO to strengthen the HR function to enable the achievement of its business strategy.
This position is responsible for performing HR and compliance functions within the organization. The person should ensure that all HR processes take place as expected by the company policy, procedures and regulations and that they comply with the Kenyan Laws at all times.
Reporting to: Human Resources Manager
Closely working with: HRO Payroll, Certification Officer and Clinical officer/Nurses and Departmental heads.
MAJOR DUTIES AND RESPONSIBILITIES
- Managing employee lifecycle: recruitment, induction, training & development and exits comprising contracts processing and staff files management.
- Supporting the grievance and disciplinary management processes – collective action management, drafting and filing cautionary and warning letters.
- Payroll processing support; verifying of data, checking submitted claims and production of final reports for non-management staff levels.
- Leave management: recording & filling (Annual, Maternity, Compassionate etc.).
- Scheduling, taking minutes and record keeping of staff welfare and gender committee meetings.
- Labour count management and analysis of muster rolls and departmental reports
- Scheduling and recording proceedings and follow up of action areas arising from health & safety, fire safety & first aid committee meetings.
- Scheduling, taking and filing minutes and following-up of action areas arising out of the monthly union-management meeting.
- Assisting and supporting the HRM in relationship management with union branch secretary, MOL, FKE etc.
- Updating, circulating and training employees on company policies & procedures including the employee handbook.
- Ensuring job descriptions for all employees are issued and filed.
- Promptly soft filing all employee records ensuring minimum physical documentation.
- Supporting performance appraisal processes; (planning, participating and sharing feedback) ensuring that the unit heads appraise their teams as scheduled
- Supporting standardization and maintenance of all key HR forms / templates
- Collating HR data in respect of attendance, absence, turnover, sick-offs
- Completing staff training applications and submitting to NITA for approvals and following-up reimbursements
- Coordinating and undertaking communication to staff through the appropriate channels
- Supporting the certification process and environmental management practices including but not limited to statutory requirements, social audits etc.
- Initiating and following up Insurance claims (GLA)
GENERAL REQUIREMENTS
- Good communicator
- Good grasp of English and Kiswahili languages
- Good understanding of the Kenyan Labour Laws.
- Ability to engender team spirit.
- Basic understanding of organizational culture
MINIMUM REQUIREMENTS
The job holder must possess:
- Minimum Bachelor’s Degree in Human Resources
- In good standing with IHRM
- CHRPK
- Proficiency in Ms Office and HRMS
- 3 Years’ Experience in a busy organization
