Executive Admin
A leading floriculture enterprise in Kiambu County is looking for an outgoing executive Admin, to Support the administrative function of the business.
This position is responsible for providing general administrative duties including but not limited customer service, executive support and performing all general office duties required.
Reporting to: Human Resources Manager
Closely working with: All staff and guests
MAJOR DUTIES AND RESPONSIBILITIES
(I) Customer service
- Greeting and welcoming visitors/guests in a professional and friendly manner
- Providing excellent customer service and support to all clients and employees
- Answering all incoming calls, keeping messages or forwarding and handling basic inquiries
- Booking appointments
- Maintaining contact lists
- Maintaining a tidy and presentable front desk with all necessary materials like pens, forms, paper, etc.
(II) Admin
- Receiving packages, letters, etc., and distributing them to the respective persons
- Preparing outgoing mail by securing parcels, drafting correspondence, etc.
- Managing records and data associated with each file
- Organizing office and boardroom meetings
- Drafting guided correspondent letters
- Keeping the files and records updated and copying/scanning/filing documents
- Manage office supply inventory, including stationary
- Reporting to management and performing other administrative duties
- Performing light data entry tasks as required
(III) Executive Support
- Provide comprehensive executive support to the Executives, managing a high-volume calendar, completing expense reports, handling confidential correspondence, arranging complex travel plans, and preparing documents for travel-related meetings.
- Oversee stakeholder engagement, maintaining a contact database, coordinating follow-ups, and managing executive communications with clients, vendors, and other external stakeholders.
- Support meeting management, including preparing agendas, attending to meeting logistics, travel arrangements and recording minutes.
- Record meeting minutes and track action items during CEO meetings, ensuring follow-up on key tasks and initiatives.
Qualifications
- Minimum Bachelor’s Degree in business related courses secretarial, front office management
- 2 years’ experience in a busy organization at the front office or as an executive assistant
Required Skills
- Good communicator
- Good grasp of English and Kiswahili languages
- Ability to engender team spirit
- Effective people management skill
- Good appearance and presentation
